Team Secretary

Property Management:

  • Liaising with utilities suppliers and local authorities when necessary
  • Liaising with property managers to respond to queries from tenants
  • Assisting property managers with ad hoc tasks
  • Organising and keeping up to date records of rate mitigation in vacant units (training will be provided)
  • Organising and keeping up to date records of property compliance
  • Organising access when required with tenants for inspections
  • Assisting lettings manager with viewings/property inspection s
  • Management of the key safe

Office Administration:

  • Reports, correspondence, memos, minutes, schedules, mail shots
  • Presentations using PowerPoint
  • Pitching documents – assist in drafting and collating pitching material
  • Using the manual filing system and assisting with the move to a paperless office (a project likely to happen in the next year or so)
  • Archiving
  • Working with the PA/ Office Manager to running/assisting with the company’s social media accounts e.g. LinkedIn and Twitter as well as management of the company website
  • Supporting the PA/ Office Manager on general office-based tasks
  • Communication with clients and tenants in a professional and effective manner
  • Document preparation
  • Audio typing (previous experience is beneficial but not essential)

General Team Responsibilities:

  • Answering incoming calls and being first point of contact for the office
  • Management of all incoming posts, including distribution amongst the team and scanning when needed

Qualifications Required:

  • Minimum 1 year+ experience in a similar secretarial role
  • IT Skills – Word (Advanced), Mail Merge proficient, Excel, PowerPoint, Outlook
  • Secretarial course desirable

Skills Required:

  • Strong attention to detail
  • Excellent spoken and written English, and takes pride in presentation of work.
  • Flexible, adaptable and cooperative with the ability to remain calm under pressure.
  • Have the necessary organisation skills to provide an efficient support service to the department.
  • Dedicated, loyal, diligent and punctual with a tidy manner.
  • Well presented with a clear speaking voice.
  • Experience with Property Management Systems would be useful but not essential.
